POSITION SUMMARY

The Artwork Coordinator, under responsibility of Global Artwork Lead, is responsible for coordinating Artwork activities and ensuring the modification of existing products or the creation of new products or new markets, in line with global strategies.

JOB RESPONSIBILITIES

1.     Manage Projects related to artwork creation or modification requests: 

·       Analyse and validate the feasibility of requests received relating to artworks (creation or modification).

·       If required, request clarification to requesters.

·       Ensure availability of the "artwork brief" document, gather the required information from the various departments involved (R&D, plant, MS&T, etc.) and check the quality of the information received. If required, request correction of the “artwork brief”.

·       Monitor PMFs and validate artwork information in Vault.

·       Coordinate artwork activities for global projects (e.g., multi-site).

·       If relevant, issue ICOs to affiliates or others group (GBU, MS&T, Projects) for plate costs.

 

2.     Manage artwork development (modification or creation)

·       Provide complete artwork brief to graphics designers team. 

·       Ensure that deadlines are acceptable and then met by the graphic designers’ team. 

·       Coordinate activities with the graphics designers’ team

 

3.     Coordinate Artwork activities (modification or creation) in Veeva Vault:   

·       Execute meta data updates in Veeva. 

·       Coordinate artwork approvals with affiliates and relevant global departments (Regulatory, Marketing). Follow-up as necessary.

·       Ensure that affiliates' requests are aligned with the artwork brief provided. If necessary, request affiliates to modify their artwork brief and inform them of timing or cost impact when applicable.

·       Ensure that approval deadlines are met.

 

4.     Plan artwork activities 

·       Ensure reception of artwork forecasts to be produced (creation or modification) from the various possible requester (subsidiaries/project managers/plants/regulatory department or others).

·       Ensure the graphic team capacity to produce the required artwork and identify potential risks.

·       Verify the quality of forecasts received, identify discrepancies, and raise issues with managers.

 

 

Other cross-functional tasks related to the Artwork Coordinator role: 

·       Participate in the training of various stakeholders. 

·       Monitor and maintain KPIs related to artworks.

·       Contribute to the improvement of processes related to the scope of the position.

·       The employee may be asked upon to carry out other activities as required by the department.

QUALIFICATIONS / REQUIREMENTS

·       Bac +2/4 with logistic or graphic focus

·       Fluent English (written & oral)

·       Minimum 5 years in Graphics Area

·       Customer relations & Negotiation

·       Data management

·       Analysis of cross-functional data

·       Project Management
